Why a SYSTEM for productivity beats any App

When thinking about productivity, the “computer geek” in me wants to immediately ask “is there an App for that?” (which speaks to my love of tech toys and the power of Apple’s marketing). I often think that to get organized, create flow, and be more productive – I need a tool of some sort.

This isn’t really the case though. What I’ve found over the years is that having a SYSTEM for productivity in place prior to having tools on my phone/computer/iPad is far more effective. The system allows me to use the appropriate tool in the appropriate manner. Leading to better results.

Over the years, I have used different systems – and really created my own system combining my favourite parts of each. In my latest YouTube video, I cover the four systems I have used.

  • Ziettlekasten (1940’s or so)
  • 7 Habits (late 80’s)
  • Getting Things Done (early 2000’s)
  • Building a Second Brain (2022)

Except for the first, these all come from the following books:

7 Habits of Highly Effective People

This book was a huge influence on my life. I really set the stage for looking at how everything I was doing (or wanted to do) could be categorized based on my principles and goals. Making room for the “big” things first.

I remember using Day Timers (Franklin Planners, Filofax) to keep track of things and better manage time. (click title to see this on Amazon – affiliate link)

Getting Things Done

When this book came out – I was very impressed at how it just made such sense to me. It was the best of the Zettlekasten combined with the 7 Habits – in a way that was more context-based rather than time-managed.

This is actually my favourite general system to date. I use programs such as OmniFocus to manage my tasks – as opposed to a calendar. (click title to see this on Amazon – affiliate link)

Building a Second Brain

Geared more to a digital system – this is a relatively new arrival on the scene of Productivity Systems, but one that has gotten a lot of attention.

I do like it quite a bit – and it is most similar to my own system. It was interesting how this was immediately popular with many of the Productivity YouTubers. Often in conjunction with a specific App (such as Notion, Obsidian, and many more). (click title to see this on Amazon – affiliate link)

My Own “mash-up” System

While all of these systems have given me great ideas and helped on my own journey towards productivity (and it’s a journey that often requires adjustment and re-focus) – none of them were as complete as I wished them to be.

As a result, I have my own “Sea of Cs” system. Check out the videos for an overview.
